Terms and Conditions of Hire

Definitions: -

  • The Company shall mean Swift Travel Services
  • The Hirer shall mean the person who has made the booking and is responsible for the payment and him/herself and every person in his/her party.
  • The Chauffeur shall mean the driver of the hired vehicle.

Details: -

  • All bookings are by pre booking only and must be confirmed with a deposit, paid by card, of not less than £50 before it is accepted as a positive booking. This will incur a 5.0% charge if paid by credit card. No charge applies to debit card payments.
  • In the event of cancellation, the company would retain any deposit paid. In the event of cancellation within 7 days of hire, 100% of the total hire charge will be due to the company.
  • No refund will be given on full payments made by the Hirer in accordance with Condition 2 above, if cancellation is made on or later than 21 days before the date of hire.
  • Any monies due are to be paid in cash on the Chauffeurs arrival at the first pick up address before the start of the journey. Monies due can be paid in advance by BACS transfer if the Hirer wishes to settle the balance on a credit card this will incur a charge of 5.0%. No charge applies for debit card payments.
  • The Company shall accept no responsibility for adverse weather conditions e.g. snow, flooding etc., which may cause delay or cancellation of the booking by the Company.
  • Whilst every effort is afforded to the serviceability of the vehicles, the Company shall not be responsible for mechanical, electrical or material breakdown how so ever caused. In this unlikely event the Company shall make every reasonable effort to repair the vehicle so that the journey can continue or the Hirer will be transferred to another vehicle(s) and any reasonable extra cost incurred will be borne by the Company or a refund given. Note: In the event of condition 6 or any other breakdown and/or accident, the Company shall not be responsible for missed connections and/or functions. How so ever caused.
  • In the event of a breakdown or accident to the vehicle booked prior to the date of booking every effort will be made to supply a similar or alternative vehicle/s at the Company’s discretion. The Company reserves the right to sub contract to other companies without prior notice although a similar vehicle will be provided.
  • All equipment is operated at the Chauffeur’s discretion. The Chauffeur has full control of all electrical equipment and will terminate usage if misuse occurs.
  • Abuse and/or physical violence will not be tolerated and will result in the Company prosecuting the Hirer. All acts of this nature are reported to the Police.
  • Any Person under the age of 18 will not be permitted to carry or consume alcohol within the vehicle. We operate a challenge 25 policy and the hirer and his/her party may be asked to provide proof of age.
  • The Hirer shall be fully responsible and liable for any damage caused both inside and outside the vehicle/s by the Hirer or any member of his/her party, how so ever caused. This includes incitement to any third party, which results in damage to the vehicle or its contents. The Hirer hereby agrees to be liable for the total retail cost of the repair. The Company will determine the location of the repairer. In addition, the Hirer will be liable to pay to the Company a fixed daily rate (determined by the Company) while the vehicle is out of service for such repairs, plus any further incurred losses e.g. lost bookings.
  • The Company takes no responsibility for the Hirer’s or any member of his/her parties items/goods used or left in the vehicle/s. The hirer must make sure all goods belonging to the hirer or any of his/her party members are removed at the end of each hire term. Employees of the Company cannot hold/store/safeguard any items for the Hirer or his/her party.
  • The Company or its representative (Chauffeur) reserves the right to refuse entry to the vehicle to any person/persons they deem unfit for whatsoever reason and can refuse to continue the journey if any person/persons behave in a manner which may be detrimental to other persons or to the vehicle and its contents. In this event no refund will be given.
  • A minimum £150 valeting charge will be levied through misuse by the Hirer from food, drink or illness or whatever the retail cost may be in excess of this amount to rectify said damage caused.
  • Any extra requests or alterations within 48 hours of the booking (including but not limited to additional pickup points, change of venue or time) will incur an administration charge of £15 and cannot necessarily be fulfilled – although every effort will be made to do so.
  • Any pick up/drop off points not listed on the confirmation is chargeable and must be booked and paid for in advance.
  • Once a booking is made and confirmed by the Hirer and deposit paid, the price quoted to the Hirer will not be subject to alteration unless there is a deviation from the details of the booking.
  • Hire time starts from the time the vehicle/s leave the Company’s premises to the time that they return.
  • The Hirer accepts responsibility on behalf of their party for any losses of property that the Company has provided in the vehicle for the benefit and pleasure of the passengers. This includes, but is not limited to, fixtures, glassware £8 per glass, CD’s, DVD’s, controls, IPods and the like.
  • The Hirer accepts the Company adopts a strict no smoking policy and the consumption of illegal substances in all of its vehicles and failure to adhere to this policy will result in immediate termination of the agreement without refund.
  • The maximum number of passengers that can be legally carried in our vehicles is either 8 or sixteen depending on the vehicle. The Hirer accepts this legal restriction and accepts that the driver shall be required by the Company to refuse to carry more than the statutory maximum. The Hirer further accepts that failure to adhere to this traffic regulation would likely result in the vehicle and its passengers being uninsured.
  • The Hirer must pay any overrun of booked time at the time of the rental in cash (full hours only). This is charged at a minimum of £75 per hour for up to an 8-seat vehicle and £100 per hour for a 9 to 16-seat vehicle.
  • Whilst every effort will be made to be punctual, occasionally there will be times when we arrive late due to traffic problems, previous customers running late or inclement weather. For this unlikely event we have a 30-minute “grace” period built into our schedule which will deem the Company still to be within the terms of the hire contract, however we will try to make this time up at the end of your hire period if possible.
  • The Hirer must be 18 years or over.
  • The Company reserves the right to use its discretion and refuse hire without explanation or reason.
  • The law regulates the hours of operation for the Chauffeur, and the hirer accepts the responsibility of ensuring the hire keeps to the hours and times as agreed by the Company. It must be understood that Chauffeurs are not permitted by law to exceed their driving hours and on some occasions journeys will involve a regulation break or the need for a relief driver.
  • The Company recommends adequate insurances are in place for events and special occasions booked by the Hirer. The Company recommends the Hirer arrange adequate insurance cover for your event/occasion.
  • In the event where transport is booked for any form of transport transfer (airport, train, etc.) at no time are The Company liable for missed flights, trains etc. due to traffic or unforeseen circumstances. We advise to allow extra time when booking and have adequate insurance cover.
  • Due to the size of the vehicles it may be difficult to pick up/drop off exactly at your destination. We will endeavor to get as near as possible.
  • The Chauffeur may refuse to carry a passenger who refuses to wear a seat belt if requested.
  • No use of party poppers, streamers and spray foam streamers are permitted inside the vehicle due to the damage this causes to the interior.
  • Under no circumstances with the Chauffeur allow passengers to hang out the windows.
  • The Chauffeur is not permitted to drop off. Pick up or park in restricted areas that would incur a parking fine. The hirer is required to provide suitable parking. If a fine is incurred through unsuitable parking the hirer will be responsible for paying this to the Chauffeur on the day of hire.
  • We offer various types of hire including pick up and return, one way and continual hire. Unless you have booked continual hire the return Chauffeur/vehicle may be different. If you have booked a drop off and return the vehicle will not be available between these times and may be used by other customers. The inside of the vehicle will be cleaned and replenished as necessary.
